Backups and Cloud Sync

Wordfast Pro does not get along with programs that create automatic back-ups and/or sync your files with the cloud such as Dropbox, Google Drive, Microsoft OneDrive, iCloud, etc. If you are using this method to create back-ups of your TMs, glossaries, or projects, ''stop immediately''. Either move your TMs, glossaries and projects outside of the backed-up/synced folder or remove the folder from the respective program's back-up/sync list.

Why is this? Wordfast Pro requires exclusive access to your TMs, glossaries, projects while working with/on them. A back-up/sync program will violate this and there will be a conflict. If your back-up/sync program is active, it will probably start the synchronization process as soon as a change is made to your TM/glossary/project – and you make changes all the time while translating/editing. As it attempts to back up/sync or restore the file(s) from their cloud copy, this will interfere with Wordfast Pro writing the changes to the same file. Eventually, this conflict will result in your TM/glossary/project files becoming corrupt and unsuable. It might be possible to rescue them, but you should not leave things to chance.

If you are using Windows 10/11, OneDrive is active by default and it will automatically sync to the cloud anything on your '''Desktop''', '''Documents''', '''Pictures''', '''Music''' and '''Video''' folders. If you followed all three steps to license Wordfast Pro on your computer, and yet it continues to display DEMO MODE in the title bar, check these things:

* Go to {{menu|Help}} / {{menu|License Management}} in Wordfast Pro. See the install number. Is it the same as your licence file name? If not, generate a new licence file. When you do so, make sure you use the install number shown in Wordfast Pro on your computer. A licence file name looks like this: N111242-88851359.lic, where the letter "N" is followed by six random digits, then a hyphen, then the remaining 8 digits must correspond to your install number.

* Make sure the date on your computer (the system date) is good.

* Mac users: when you unzip a fresh license file in a folder where you keep a previously created license file, MacOS may append a number to the file name of your new license file, so it will be called 12345678(1).lic, rather than just 12345678.lic. When you load the license file in Wordfast Pro 3, make sure you don't load the old one!

* Check the file size of the licence file. It should be about 650–680 bytes. If it's 0 bytes, it's dead (most likely, an overzealous security software on your computer or mail server deleted its contents thinking it was dangerous). When this happens, see if the copy of the license file you received by email is good; your can also try generating the licence file from another computer. * When you generate a new license file after you renewed your license, make sure you don't confuse the new license file with the old one you may still keep on your computer. You can import SDL Trados xliff files (''.sdlxliff'') by creating a Wordfast project and adding the file to it. However, your file needs to be pre-translated in SDL Trados. This creates needed target segment meta-coding for Wordfast to work with the file. Furthermore, make sure your project languages match the languages in the ''.sdlxliff'' files. For example, your client might send you a ''fr-FR'' to ''en-US'' file, while you are trying to open it in an ''fr'' to ''en-GB'' project. This will not work! The source and target language codes need to match exactly. If you are not sure, you can open the ''.sdlxliff'' with a text editor and you should see the language codes in the first line of the file (if you don’t see it, search for ''source-language'').

Another important thing to remember if working directly with an ''.sdlxliff'' file is that when you create the target file ('''''File''''' > '''''Save File As Translated'''''), Wordfast will change the file name by adding the target language code to it, e.g. if the source file name was ''text_to_translate.docx.sdlxliff'', the target file name will be ''text_to_translate.docx_en-US.sdlxliff''. As of Wordfast Pro 8.6, the following issues exist when working with SDL Trados packages or directly with ''.sdlxliff'' files:

– Segments that were left untranslated in Wordfast Pro will be shown as translated in SDL Trados (the green-pencil-and-tick icon will be displayed)

– Locked segments will also be marked as as translated in SDL Trados (the green-pencil-and-tick icon will be displayed).

The above means that the translation progress will show as 100% in SDL Trados even if some segments were left untranslated (because locked or otherwise).

– If the SDL package that is imported into Wordfast Pro contains folders and subfolders, Wordfast Pro does not maintain the folder structure in the return package generated. This means that the return package will fail to be imported back into SDL Studio. In this case, the only recourse for the time being is to extract the ''.sdlxliff'' files from the package – or ask your client to send you only the ''.sdlxliff'' files – and translate them directly.

the most likely cause for this is corrupt code somewhere in the document. Often, the internal corruption is related to bookmarks or footnotes/endnotes.

MS Word may be able to automatically fix the problem but you will first need to turn off Track Changes. Sometimes, this is enough, and you will be able to add the file to your project.

To deactivate Track Changes, open the file in MS Word, go to the Review tab, and click on the Track Changes button to turn it off. Save your file, then try to add it to the project again.

This error message means that your TM is corrupt. Your TM is still in the same location where Wordfast Pro is looking for it but when it tries to establish connection to it, Wordfast Pro detects a problem with the TM. Usually, these problems result from missing and/or damaged TM files.

A Wordfast Pro TM is a database. If you open it, e.g. by right-clicking its name in the ''Project TM'' tab, then choosing ''Open Location'', you will see a folder that has the same name as your TM. Excluding the case where somebody manually deletes one or more files contained in the index folder, the most common cause for a missing file is a program that creates automatic backups by syncing the folders on your computer with an external location, usually the cloud. These programs include OneDrive (Windows), iCloud (Mac), Google Drive, and Dropbox. Wordfast Pro TMs, glossaries, blocklist, and projects should never be stored in folders that are backed up by any such program because it can – and it eventually will – damage the TMs, glossaries, blocklists, or projects. In the case of TMs and glossaries, the most common occurrence is one or more of the files inside the ''index'' folder going missing. In the case of projects, it is the ''project.wf4'' file (contained directly inside the project folder) that is either damaged or destroyed by the cloud backup program.

What can you do if you see the “Unable to connect to TM!” error message? The first thing is close Wordfast Pro. Then immediately exit (shut down) the cloud backup program. After that you should copy the entire folder that the TM or glossary is to the Wordfast Pro default location: C:\Users\[your-username]\WordfastPro\memories or C:\Users\[your-username]\WordfastPro\glossaries (if you have a PC) and /Users/[your-username]/WordfastPro/memories and /Users/[your-username]/WordfastPro/glossaries (if you have a Mac).

You then need to carry out some investigative work. Open the ''index'' folder of the TM or glossary and look at the files inside it. You will notice a pattern: there will be groups of files all starting with the same two or three symbols: underscore, followed by one number, or by two numbers, or by one number and one letter, or by two letters. Each such group should be comprised of 14 files, each having a different extension (see screenshot).

Try to detect which file is missing. It is usually the .tip file, e.g. ''_48_Lucene84_0.tip'' file in the screenshot but your case might be different. After you have established the missing files – often, the same file type will be missing from multiple groups of 14 files – open the cloud storage space of the automatic backup/cloud sync program you were using. Do not open the program itself! Open the storage space using your browser, e.g. if you were using OneDrive, type OneDrive in your browser, then open the OneDrive Personal Cloud Storage link, sign in to your account, and access the My Files folder. Inside this folder, you should see various files and folders that have been backed up. Look for the folder that is your TM. When you find it, open it, and open the ''data'' folder, then the ''index'' folder. Inside, you should see all the files that were backed up. Look for the file you identified as missing above. If it is there, download it to your computer. Repeat this for all missing files, then paste all these files in the index folder on your computer. When ready, start Wordfast Pro, open the project the TM was attached to, click on it to highlight it, then click the ''Remove'' button. After that click ''Add Local'' and browse to the new location of the TM (the Wordfast Pro default folder). If it adds without displaying an error message, then you have successfully recovered it.

If the above doesn’t work, the TM cannot be rescued. But it can be recreated. To do this, you will need the projects you completed using the damaged TM. Follow the steps below:
# Open the first project.
# Go to the ''Project TM'' tab in the opened project.
# Create a new TM. Make sure you save the new TM in the default location for TMs.
# If there is only one file the project:
## Open it in the TXLF Editor.
## Click in the first segment.
## On the ''Translation'' tab, click the ''Commit All'' button. This will populate the newly created TM with the translated segments from the file.
# If the project contains multiple files:
## Click the ''Cleanup'' button on the ''Project Files'' tab.
## In the window that opens, choose any settings you need and select the TM you want to populate.
## Click the ''Clean Up'' button. This will populate the newly created TM with the translated segments from the files.
# Repeat the steps above for all projects whose translations you want to add to the newly created TM.

This error message means that your TM is corrupt. Your TM is still in the same location where Wordfast Pro is looking for it but when it tries to establish connection to it, Wordfast Pro detects a problem with the TM. Usually, these problems result from missing and/or damaged TM files.
